Frequently Asked Questions
 

  1. How do I get an user id and password for the online system?
    You will first need approval from your grant financial officer. Then contact DCJS Grants Administration at grantsweb@dcjs.virginia.gov. In that e-mail include who the approval authority is (usually the financial officer), first and last names of all users, e-mail addresses, and the current grant number(s) you are working with.

  2. How long will it take to process my request for grant funds?
    Approximately 30 days from the date DCJS receives the request.

  3. What has delayed the processing of my request for funds?
    Please check to make sure all special conditions have been satisfied and all quarterly reports are up-to-date. Also, make sure you have submitted to DCJS a signed Statement of Grant Award/Acceptance. You can check the status of your special conditions and quarterly reports by accessing the Grants Management Information System (GMIS). Go to "view status."

  4. We've submitted our financial report but still do not have any funds. What's the holdup?
    You must submit a Request for Funds through the online system in order to receive funds.

  5. What are my reporting responsibilities?
    Quarterly financial reports and progress reports are due the 12th workday after the end of the calendar quarter unless you are informed differently in the special conditions of your grant.

  6. Do we have to submit a financial report even though we haven't spent any grant funds to date?
    Yes.

  7. We need to adjust our budget. What do we need to do?
    Submit a Budget Amendment request through the on-line system with a narrative explaining what you are adjusting and why you are requesting the adjustment. Note: only 2 budget amendments can be submitted per grant year.

  8. How long will it take to process my budget amendment request?
    It takes approximately 3 weeks from the date DCJS receives the request.

  9. What if I submitted my request for funds and need to change the amount requested?
    If your finance officer has approved the request, e-mail us and we will make the change.

  10. What if I submitted my request for funds and didn't ask for an amount? My rquest shows zeros.
    Contact DCJS. Otherwise look under view status and you will see the request denied. At this point, you may go under "Request for Funds," click on "revise request," and re-submit with the correct amount of funds added.

  11. I forgot my password to GMIS. What should I do?
    Contact DCJS at grantweb@dcjs.virginia.gov and request a new password be sent to you. Please include a phone number in the email in case we need to contact you by phone.
