1. What is Watson?
    It is the companion to our internal database and licensing system known as Sherlock and is accessible to people in the industry.

  2. What can you do with Watson?
    Watson combines the status hotline and contact information update system with an online application submittal system. Please see http://www.dcjs.virginia.gov/pss/online/watson.cfm for more information on the many uses of Watson.

  3. Where can I access Watson?
    Watson can be accessed through the Private Security Services website under "online services" or by this address: https://www.dcjs.virginia.gov/ps/logon/logon.cfm.

  4. Who can use Watson?
    Individuals, businesses and training schools. A separate pin number is required for each. Only the compliance agent can access Watson for a business. Only the training directors and assistant training directors have access for a school.

  5. Do I have to sign up to use Watson?
    No. Watson is a free service DCJS provides to its constiuents. You will need your DCJS ID number and your pin number to access it.

  6. What is my DCJS ID number?
    It is an 8-digit number that begins with 99. It can be found on an individual’s registration card, the letter that accompanies renewals, and/or the letter that accompanies the entry-level compliance agent certificate. If you do not know yours, you may request one at https://www.dcjs.virginia.gov/ps/information/dcjsid.cfm.

  7. How can I get my pin number?
    You may send an online request at https://www.dcjs.virginia.gov/ps/information/dcjsid.cfm.

  8. I have never been registered with DCJS; can I still use Watson?
    Yes. You may request a temporary pin number so you can submit applications online. You may send an online request at https://www.dcjs.virginia.gov/ps/information/tempid.cfm.

  9. It has been more than a year since I submitted an application; can I still access Watson?
    Users may only log on if they have a current or pending application on file. If it has been more than one year since an application was cancelled, you will not have access to Watson.

  10. Can I use the same pin number for myself and my business and/or my school?
    No. The pin number for the individual only allows that person to check his or her own applications. Separate pin numbers are needed for businesses and/or schools.

  11. How do I log in as an individual?
    Individual Username: your personal DCJS ID number, the 8-digit number that starts with 99 on your hard card. Do not enter the hyphen! You may request a personal pin number that will allow you to access your personal information only.

  12. How do I log in as a business?
    The compliance agent can login using their personal DCJS ID number, the 8-digit number that starts with 99 on your hard card. Do not enter the hyphen! This feature limits access of company information to compliance agents. The business pin number differs from the compliance agent’s personal pin number. You will NOT be able to access business information if you enter the business ID number. Businesses may use Watson to check on the status of their employees. The compliance agent must know an individual’s SSN or DCJS id number to access information on them.

  13. How do I log in as a training school?
    The school directors and/or assistant directors personal DCJS ID number, the 8-digit number that starts with 99 on your hard card. Do not enter the hyphen! This feature limits access of company information to training directors/assistant directors. The training school pin number differs from the director’s personal pin number. You will NOT be able to access school information if you enter the school ID number. Training schools may use Watson to check on the status of their employees. The director/assistant director must know an individual’s SSN or DCJS id number to access information on them.

  14. Can I renew my business license or school certification online?
    Not yet. We hope to have that capability in the near future.

  15. Can any compliance agent access Watson?
    No. Only compliance agents that are currently employed by a licensed business will have access to Watson.

  16. Is it safe to use Watson for credit card transactions?
    Yes, your connection uses the Secure Socket Layer (SSL) for all Internet communications to encrypt all data transferred between your PC and our server. All credit card transactions are protected by the VeriSign certificate authority, so you can be confident that your credit card information is safe!

  17. Watson would not accept my credit card. Can you help?
    DCJS does not check the credit card security code, a third-party credit card processing company does. If your card cannot be processed for whatever reason, please contact your credit card company. DCJS cannot verify anything here.

  18. Can I use a debit card to pay for my applications?
    Yes, one can use a debit card if it is authorized by Visa or MasterCard and has a security code on the back in the signature space.

  19. How do I submit applications in Watson?
    Once you have logged in you can select from the application options. Each application provides instructions, eligibility requirements and descriptions of any documentation that must be submitted to the department before processing is complete.

  20. I submitted my application, so why isn’t it showing up on Watson?
    Watson is updated nightly, so information will not automatically appear in the system. It takes at least 24 hours.

  21. I received an email confirmation for training; why didn’t it give me the date, location and directions?
    The email you received was a confirmation that your credit card was charged, NOT a confirmation that you were scheduled for a particular training. If signing up for DCJS in-service on-line, you will not automatically receive directions and a confirmation letter. The Training Specialist will send them out.

  22. If I submit an application for entry-level training, am I guaranteed to be in the course I want?
    That depends. Scheduling for entry-level compliance agent (CA) and instructor (GE/FE) training is dependent upon meeting the eligibility requirements and submitting official third-party documentation verifying that eligibility. Required documentation must be submitted to and processed by the Department before you will receive any notice of being scheduled.

  23. If I submit an application for in-service training, am I guaranteed to be in the course I want?
    Yes. Once your application is submitted for a particular date, you are automatically scheduled for the class you requested.

  24. How far in advance can I submit an application for In-service training enrollments?
    Compliance agents (CT) and instructors (GI/FI) can submit training enrollment applications any time within 12 months prior to their expiration date. Get the date and location you want by applying early!

  25. The calendar says there is class on a particular date, but when I try to apply for it in Watson, it isn’t there. Why?
    If a training date is on the calendar, but does not show up in Watson when you submit the application it means the training is full. You will need to pick another date. The calendar only shows scheduled dates, but does not show seat availability.

  26. The following applications require submittal of documentation to DCJS clearly marked with the name of the applicant and the application to which it belongs:
    initial compliance agent (CA), general instructor entry-level training enrollment (GE), firearms instructor entry-level training enrollment (FE), initial instructor (IA), and partial training exemption (WA). You will not be scheduled and/or approved until documentation has been received and processed by the department!

  27. Can my compliance agent or training director change my contact information?
    No. Compliance agents/training directors can view but not change their employees’ contact information. However, they can submit applications for their employees.

  28. I tried to renew online but it would not let me. It did not even show the link. Why?
    Registration renewals can only be submitted within 90 days prior to expiration and for 60 days after expiration. Renew on or after the 15th of each month. The link will only be available within those 90 days prior to expiration and 60 days following expiration. There will be a reinstatement fee for renewals submitted after expiration.
