How can academies and agencies get access to TRACER?

All academy and agency users must request TRACER access by submitting a completed and signed TRACER – Confidential Information Agreement to etrain@dcjs.virginia.gov.

This agreement is necessary to ensure that all parties understand the sensitivity of the data accessible via TRACER.

Upon receipt, the TRACER Administrator will enter the user in TRACER. The new user will receive an email asking the user to establish a password.

All criminal justice agency and academy users will be required to log into TRACER using their email address and password.

What are the system requirements needed to access TRACER?

No software downloads are required to install or access TRACER.

TRACER is a web-based program that will run on any major browser* (ex: Edge, Chrome, Firefox).

*Please note: If you are using a Scantron for grading exams, you will need to be on a Windows-based computer.

How do I add new information to TRACER?

TRACER allows agencies to review their employees to check for accuracy of any information entered regarding their personnel.

After signing up, agencies begin the process by entering new hires into TRACER, where they can then periodically update employee records (e.g., name changes, change in functions, ranks, and separations from their agencies). Simple forms are completed to accomplish this.

Field training forms must be entered into TRACER by DCJS, but most information can be added directly in TRACER. Agencies, for example, can add their own training records and certification information.

What if I lose or forget my password?

If you lose or forget your password, you can click the “Forgot you email or password?” link on the Tracer login page: https://tracer.dcjs.virginia.gov/account/login

Please note: Clients are expected to always keep their passwords secure and private.

Can I upload Scantron testing documents to TRACER?

Yes, using a Windows-based computer, follow the upload instructions below.

If this is a new installation and you are not migrating from ACE, follow the steps in the manual below.

If you already have a scanner installed and are migrating from ACE, download the self-extracting file below.

Step 1: After downloading the file, launch TRACER.exe.

Step 2: Enter C:\TRACER in the “Extract to:” field.



Step 3: Once the extraction is complete, go to your C:/TRACER folder

Step 4: Launch DScan.exe

Can Law Enforcement Officers access their own records?

Coming soon: Law enforcement officers will soon have access to TRACER to view their own records, completed training and training deadlines, and download copies.

To request a copy of training history and employment records, officers can send an email request with your name, date of birth, and contact number to etrain@dcjs.virginia.gov
