TRACER

Hiring, training, certification, promotions, name changes, job changes, retirement and more - TRACER keeps track of it all. The Training and Certification Electronic Records (TRACER) is the automated records system utilized by the Department of Criminal Justice Services (DCJS) to track criminal justice personnel employed in the Commonwealth of Virginia.
 
Agencies begin the process locally by entering new hires and are able to periodically update the records of their employees (e.g. name changes, change in functions, ranks, and separations from their agencies). Simple forms are completed to accomplish this. TRACER allows agencies to review their employees to check for accuracy of any information entered regarding their personnel. 
 
TRACER monitors compliance with training requirements by criminal justice personnel. This enables the Department to inform agencies of criminal justice personnel who might become delinquent in the completion of their training and to ensure that criminal justice personnel are in compliance with their mandatory training requirements as required by the Code of Virginia. TRACER is secure to prevent unauthorized data access. If your agency does not currently have access to TRACER, simply complete the "TRACER - Confidential Information Agreement"  and submit it to etrain@dcjs.virginia.gov. 
 
 

Accessing TRACER

There are two different TRACER Accesses:

Agency/Academy Admin Access

This access is for Agency and Academy access only to be able to enter in new officers (form 21), end officer’s employment (form 31) and enter in training into the system.

Officer Only Access

All officers have access to their own records. This access will give you access to all your training, current hours, capabilities to print your training history and certificates.

  • Once you are on your homepage you can print your Training Records by going to the far right at the three dots and then click Complete Historical Records. Your records will appear in PDF format. You can save and print this PDF file.
     
  • If you scroll further down the screen, you will see the following:
    • Employment Tab
    • Officer Training Tab
    • Instructorship Tab
    • Firearms Scores
 

Computer System Requirements:

 TRACER is a web based program that will run on any of the major browsers. 

*Please note: If you are using Scantron for grading exams, you will need to be on a Windows based computer.  Hard drive space and memory requirements are negligible.

For Scantron Testing:

If this is a new installation and you are not migrating from ACE, follow the steps in the manual below.

If you already have a scanner installed and are migrating from ACE, download the self-extracting-file below.  

  1. After downloading the file, launch TRACER.exe.  
  2. Enter C:\TRACER in the Extract to: section.


     
  3. After it completes, go to your C:\TRACER folder.
  4. Launch DScan.exe
