Getting Started with OGMS (Online Grants Management System)

The Virginia Department of Criminal Justice Services (DCJS) is excited to announce the official launch of the new Online Grant Management System (OGMS).  The new system, OGMS, is scheduled to go live on February 1, 2021.  It will provide sub-recipients with the ability to manage different aspects of the DCJS grant award including but not limited to:  managing users, submitting applications, programmatic and financial reports, reimbursement claims, budget amendments, etc. 

DCJS is in the first phase of this transition and we are offering (4) opportunities for sub-recipients to learn more about the functionality of the new grants management system.  We strongly encourage authorized grant officials and key staff who are responsible for managing the DCJS award to attend.  All sessions will be recorded and a link to access the recording will be sent via email following the last session.

Description of Training:

The Online Grants Management System (OGMS) training series “Getting Started with OGMS” will offer participants with an overview of the new grants management system, basic features and functions to manage your DCJS grant award, system terminology, a step-by-step demonstration on how to register and manage users, submit & negotiate grant applications, and grant tracking (which includes post-award functions including programmatic and financial reporting, budget amendments, reimbursement claims, etc.).  The training will be presented by Dulles Technologies and the DCJS OGMS Project Team.

Format:

The training will take place on the Zoom meeting platform and include an audio-visual presentation as well as a live demonstration of the new grants management system. Participants will be able to ask and have questions answered via the chat feature.  Video sharing is not required.

Who should attend?

Attendance is limited to (2) persons per agency/locality.  These individuals should be persons designated as an authorized grant official (project director, project administrator, finance officer) and/or individuals who are responsible for managing the DCJS grant award to include submitting grant applications, programmatic and/or financial reports, reimbursement requests, budget amendments, etc.

Registering Users, Submitting & Negotiating Grant Applications

This training will provide an overview of the new grants management system, OGMS, and how to navigate basic features to manage the DCJS grant award in the pre-award application phase of the grant cycle. The trainers will discuss system terminology as well as provide a brief description and demonstration of each of the following processes to get started:  registering external users, updating contact information, creating a new grant application, negotiating grant application revisions/corrections application with DCJS staff, accessing the application in editing status, checking the status of an application, and submission. This session will be recorded and repeated on January 26th.

Grant Tracking Overview

This training will provide an overview of the Grant Tracking process, which features different functions to manage the DCJS grant award in the post-award phase of the grant cycle. The trainers will discuss the terminology as well as a brief description and demonstration of each grant component to include claims (reimbursements/vouchers), encumbrances (special conditions), contract amendments (budget amendments or changes), status reports (progress reports), site visits, correspondence, additional grant forms and processes, and grant specific alerts and processes.  This session will be recorded and repeated on January 28th.
